Wells Document Controller
Job Description
We are recruiting a Wells Document Controller for our client in Aberdeen City Centre, this is an initial 12 month contract role but likely to roll on a further 2 years.
Wells and Subsurface Information and Records management are critical activities providing evidence for the business to deliver projects, and manage fields and wells safely and efficiently. In the UK operators have a regulatory obligation to report Well Information throughout the well lifecycle, in accordance with specific requirements and timelines. The Well Document Controller is an essential role supporting the creation, control, accessibility and reporting of well operations information and records. The role reports directly to Drilling, Completions & Well Services (DCWS) department with functional reporting to the Information Centre.
Duties & Responsibilities to include:
- Control of Well and Subsurface Records throughout the entire document lifecycle from creation to final reporting / destruction including registering, tracking and distributing well documents and data received from internal and third parties, assisting in the capture of it in the company’s DMS, and in the UK, the regulator’s repository, NSTA National Data Repository (NDR).
- Provide document management support to Drilling, Completion and Well Services (DCWS) and Geology & Geophysics (G&G) Departments re day-to-day well operations document/data management queries and requests.
- Support business requirements and regulatory compliance by adhering to Company procedures and specifications relating to Information Management (IM), Document Control and NSTA compliance for well and subsurface information.
- Document Number, Revision Coding / Revision Status and other metadata control and allocation in the Document Management System (DMS).
- Support the creation and maintenance of Well Information Checklists for well operations projects.
- Support the creation and maintenance of internal Master Document Registers (MDRs) for use by the project / campaign teams and ongoing well operations activities.
- Expedite MDRs to completion to ensure all documentation reaches a final version state and all document/data deliverables are received and processed in Company DMS and NDR.
- Run and disseminate regular reporting to support DCWS and G&G in timely delivery of documentation, including
- Deliver document management requests received from the DCWS and G&G functional teams including document numbering, well numbering and other metadata, document retrieval, searching etc.
- Quality check of document/data deliverables received from internal and external parties against IM Standards and Specifications.
- Supporting in the reporting records to the UK regulator’s repository, NDR ensuring all regulatory deadlines are met.
- Provide support to DCWS and G&G personnel in document management processes and search/use of DMS.
- Assist in the implementation of new document management related processes and enhancements.
- Proactively promote and ensure document management processes and procedures are understood and are complied with by the users.
- Assist to ensure Intranet Project Sites is set up and maintained as required.
- Communicate and provide regular status updates identifying potential areas of concern and seek resolution in a timely manner.
General
- Provide weekly progress / status updates.
- Attend and contribute to meetings with the Well Information Management Programme, in addition to Information Centre and DCWS/G&G functional meetings.
- Work in a collaborative manner and, where required support and assist other Information Centre and Well IM team members.

- Experience in a Document Control Role
- Has a systematic and disciplined approach to work and is able to plan, schedule and monitor own work within a limited and / or defined timeline.
- Is a team player and willing to provide a support role to other members of the Information Centre and other Well IM team members.
- Has a meticulous attention to detail with accurate inputting skill.
- Is able to adopt a proactive and coordinated approach in identifying anomalies, areas of concern and resolving problems in a timely and effective manner.
- Knowledge of Drilling and/or Well operations processes.
- Understanding of document management systems.
- Document Controller experience.
- MS Office computer literacy.
- Experience of similar role preferred.
